The Office Manager has a commitment to the work of peace and justice and to the BPFNA ~ Bautistas por la Paz stance of welcome and inclusion. This is a person with excellent organizational skills and the ability to handle diverse details. Computer, networking and technical capabilities are required as is competency in maintaining various record-keeping procedures, including databases. S/he must have the capacity for problem solving and working with a variety of equipment, the ability to be flexible and work cooperatively with other staff, and be willing and able to perform a wide assortment of duties. Fluency in speaking, writing and proofreading Spanish would be a strong asset. This is a half-time position (20 hours a week), hired by and directly accountable to the Executive Director.

Because we are currently rethinking our staff configuration, this position will be considered temporary until such time as the board of directors makes a decision about overall staffing. This person would need to be located within commuting distance of our Charlotte, NC office.


Database Management

  • Record contributions and other receivables in database and prepare checks and cash for bank deposit.
  • Track and post web and credit card contributions.
  • Prepare and print thank you letters weekly.
  • Oversee BPFNA merchant account.
  • Make address changes and other information updates in the database.
  • Prepare mailings.
  • Handle all event registrations.
  • Maintain appropriate electronic back up files.
  • Oversee membership renewal process. 
  • Keep updated lists of lapsed members and work with volunteer  caller(s) to contact each lapsed member within 90 days of the expiration date.
  • Cultivate new Partner Congregations in coordination with volunteer caller(s)
  • Support the Executive Director with any database work needed in the donor identification and cultivation process.

Office Management

  • Oversee the maintenance and upgrading of office technology systems, including computers, networks and telephone.
  • Answer the telephone, work FAX machine, handle email and internet inquiries.
  • Keep track of supplies, ordering and printing as needed.
  • Maintain office.
  • Prepare materials for exhibits and events.

Summer Conference Logistics

  • Oversee creation of a database to track and manage conference registrations
  • Manage a registration process that assures compliance with all host site requirements and provides for the needs of attendees.
  • Oversee pre-conference communication with attendees.
  • Assist with travel arrangements for international participants, conference leadership and staff.
  • Run background checks for all people working with children and youth.
  • Complete DS160s for FIBAC participants
  • Put together and mail SC publicity to seminaries and partner congregations.
  • Prepare Summer Conference name tags.
  • Prepare boxes and ship materials to site.


  • Update and prepare board member name tags for board meetings.
  • Create host family packets for board meetings.
  • Handle any printing and copying that may be needed for board meeting.
  • Track board travel plans
  • Coordinate with host site to arrange for meals, housing, rides, etc.


  • Assist Executive Director as needed.
  • Other duties as assigned.


Salary range for this half-time position is $15,000-$17,000 depending on experience. Full health insurance is included. Payments of 10% of the salary will be made to the pension plan of the employee’s choice. Vacation and sick leave will begin at the end of a three month trial period.
